Our most powerful tech tool here at 4ocean Foundation is our Customer Relationship Management (CRM) system, powered by HubSpot. Our CRM system is essential to our success. As an Executive Director, having a centralized and intelligent system to manage donor relationships, track giving trends, and measure the impact of campaigns has been transformative for both strategic decision-making and daily operations.

HubSpot enables us to segment our donors effectively, personalize outreach, and track engagement over time—all of which are critical in cultivating long-term support for our ocean cleanup mission. From a fundraising standpoint, it gives us visibility into what's working, what needs adjustment, and where we have opportunities to deepen relationships.

It has also significantly improved our data governance and reporting workflow. We're now able to integrate fundraising performance with programmatic outcomes—such as pounds of ocean plastic removed per donor dollar—giving us a more holistic view of our impact and increasing transparency for our supporters.

Additionally, HubSpot integrates with our financial reporting system and also powers our active marketing campaigns, speeding up multiple processes that used to be within their own silos. This has helped us to become more effective and more efficient!

I truly appreciate Calendly, which reduces the friction involved in securing a meeting time and date with an external partner. Instead of creating an email with potential availability times and volleying back and forth, I can provide a link that is connected directly to my calendar and offers my comprehensive availability for virtual, in-person, and one-on-one consultation meetings. It saves me so much time, reduces the need for administrative assistance, and makes it harder for an external connection to say no to booking a meeting. All our staff now uses Calendly, and I can easily share their links with external partners if I need to outsource a meeting to one of them too!

Project Management Software Boosts Organizational Efficiency

One technology tool that has been essential to my success as an Executive Director is project management software like Asana or Trello. At Tech Advisors, staying organized across multiple teams and client projects is non-negotiable. These tools help me plan initiatives clearly, assign responsibilities, and ensure nothing slips through the cracks. Everyone knows what needs to be done and when—and that clarity keeps our operations running smoothly.

Being able to track progress in real time has changed the way I manage risk. If something is falling behind or a task is stuck, I can spot it early and pivot quickly. That helps me make better decisions about where to shift resources. I remember a time when we were launching a new cybersecurity training package with Elmo Taddeo's team. Using Asana helped us spot an issue with content delivery before it became a problem for the client. We adjusted in time and kept the rollout on schedule.

These platforms also shorten the decision-making process. I don't have to wait for a weekly meeting to understand where things stand. The data is right there—task completion rates, timelines, team updates. That means I can make quick, informed decisions and keep things moving forward. My advice: if you're juggling multiple priorities, project management software isn't just helpful—it's a must-have.

Notion Creates Custom Workspace for Complex Tasks

One of the most consistently valuable tools in my role has been Notion -- not just as a workspace, but as a system of thinking. As an Executive Director overseeing both strategic initiatives like the ECDMA Global Awards and the day-to-day operations of an international association, I needed a platform that could adapt to the complexity of cross-functional work, without becoming another rigid process layer. Notion filled that gap.

What makes it essential isn't the features themselves -- there are plenty of tools for docs, task management, or databases. It's the ability to architect a fully custom operating system that reflects how you think and lead. I've built internal knowledge bases, project pipelines, editorial calendars, and even jury evaluation dashboards within it. It allows me to scale decision-making by making context accessible. When I onboard a new team member or committee participant, they're not handed tasks -- they're plugged into a living system that shows why things matter.

More importantly, Notion supports what I call "strategic drift control." In a leadership role, it's easy to be pulled into constant firefighting. Notion helps re-anchor me to priorities. Weekly dashboards reflect progress on long-term goals. Notes from stakeholder meetings surface patterns that inform strategic shifts. Because everything lives in one structured, searchable place, I spend less time gathering information and more time interpreting it.

For leaders considering tools, the real question isn't which app has the most features -- it's which one helps you build alignment between thinking, execution, and communication. For me, that's where Notion has quietly become irreplaceable.

Integrated Program Management Tools Improve Communication

One of the most important keys to success as a nonprofit Executive Director is keeping all employee and volunteer workflows running efficiently and effectively. This stems from having excellent communication channels internally and externally. To this end, one of the most helpful pieces of technology has been using program management tools that integrate with Google tools, such as Teamwork, which integrates with our Google Calendar and Gmail accounts. This provides a seamless way to keep all of our tasks in line and well communicated with each other.

With employees and volunteers all working remotely, it is easy for one or more of them to become disorganized and/or disconnected from the team, especially if they are not inclined to be good communicators or good organizers of their time. Using tools like program management systems that integrate with our shared calendar and email accounts allows our staff and volunteers to easily see what everyone else is working on, their schedules/availability, and where gaps may be that they can potentially fill.

As far as how this has improved decision-making, this type of open communication allows me, as Executive Director, to allocate other work to certain staff and/or volunteers based on how I assess their efficiency, workload, availability, and team attitude. This has also proven to be helpful in employee annual reviews and guiding staff to organize large, multi-year initiatives in a way that is strategic and helps them to stay on track and keep moving forward.

In the end, it's all about communication.

Asana Brings Structure to Multi-Project Management

One technology tool that has been absolutely essential to my success as an Executive Director is Asana. As someone responsible for overseeing multiple projects, departments, and deadlines, I need a system that brings structure and clarity to our work—and Asana does just that. It helps me keep track of team progress, assign responsibilities, and ensure that nothing falls through the cracks. I especially appreciate how visual and customizable it is; I can map out timelines, set priorities, and adjust workflows based on changing needs.

What's even more valuable is the transparency it creates across the organization. Everyone can see who's doing what and by when, which fosters accountability and alignment without the need for constant check-ins or email threads. It also integrates seamlessly with other tools we use, like Google Drive and Slack, which cuts down on time spent toggling between platforms.

Ultimately, Asana allows me to focus on strategic leadership instead of getting bogged down in the operational weeds. It's not just a task manager—it's a central hub that keeps our team moving forward with clarity, efficiency, and purpose. I honestly can't imagine managing the complexity of my role without it.

Financial Software Aligns Budgeting with Reporting

From a financial perspective, Sage Intacct has been a staple of our monetary reporting and analytics. It offers the unique balance of being robust but also user-friendly. We enhance the tool by utilizing their budgeting module so that everything is aligned from budget vs. actuals through every GL category. It works great with outside tools like Bill.com, which we use to automate AR and AP.

The real key is committing to a tool and the use of data. If there is not sustained commitment from the top, then people will go back to their old Excel ways. If executive teams are not requesting and using data on a regular basis, then staff may not be as rigorous in collecting and recording the data needed to make important decisions.
